Business Visa

Documents Required

Visa Application Form

• A duly completed and signed VisaOnWeb application form with a barcode.

Passport

• Valid for at least three months beyond the visa expiry date.
• Issued within the last 10 years.
• Must contain two blank pages for visa stamps.

Passport Copy

• Photocopy of the passport bio-page showing personal details and photo.

Photographs

• Two UK passport-sized photos (3.5cm x 4.5cm).
• Colour photos with a plain white background.
• Must be less than three months old.

UK Residency

• Provide a UK eVisa printout from UKVI with a valid share code.

Travel Insurance

• Must cover the entire Schengen area.
• Minimum coverage of €30,000 for medical emergencies, hospitalisation, and repatriation.
• EHIC cards are not accepted.

Proof of Travel

• A reserved return ticket to the UK or onward travel confirmation.

Proof of Accommodation

• Confirmed hotel booking covering the entire stay.
• If sponsored by a Belgian company, a certificate of board and lodging (official sponsorship form) may be required.

Proof of Finance

• UK bank account statements covering the last three months, showing sufficient funds.
• Credit card statements indicating the credit limit.

Employment/Business Status (Not older than 30 days & depending on applicant’s situation)

• Employed Applicants:
  • Recent official letter from employer confirming job position, salary, and leave approval.
  • Last three months’ payslips.
• Self-Employed Applicants:
  • Letter from a registered accountant, solicitor, or banker confirming self-employment.
  • Self-assessment tax return form from HMRC.
• Students (if attending a professional training or conference as part of academic studies):
  • Official letter from school, college, or university confirming enrolment, course details, and attendance record.

Purpose-Specific Documents

• For Business & Professional Visits:
  • A letter of invitation from a Belgian company, business partner, or event organiser.
  • Proof of existing business relations, contracts, or past collaborations with the Belgian company.
  • Entry tickets or registration confirmation for trade fairs, conferences, or business events.
• For Official Delegations:
  • A letter issued by an official authority confirming the applicant is part of a delegation.
  • A copy of the official invitation from the Belgian host government, embassy, or intergovernmental organisation.
• For Seafarers:
  • Seaman’s book (if applicable).
  • A recent letter from the recruiting company confirming job title, vessel details, and travel plans.
• For Lorry Drivers:
  • A letter from the national carrier association confirming the purpose and duration of trips.
  • A written request from the Belgian partner company.
  • A valid international driver’s licence for transport.

For Minors (Under 18 Years Old)

• Birth certificate.
• If travelling alone or with only one parent, additional documents required:
  • Consent letter signed by both parents or the legal guardian.
  • Certified copies of both parents’ passports.
  • British school certificate.

Important Notes

• All documents must be in English, French, Dutch, or German. Foreign official documents must be legalised or carry an apostille unless exempted by treaty.
• Submission of all required documents does not guarantee visa approval.
• Additional documents may be requested by the Belgian authorities if necessary.
