Short Stay Visas

Documents Required

Visa Application Form

• A duly completed and signed VisaOnWeb application form with a barcode.

Passport

• Valid for at least three months beyond the visa expiry date.
• Issued within the last 10 years.
• Must contain two blank pages for visa stamps.

Passport Copy

• Photocopy of the passport bio-page showing personal details and photo.

Photographs

• Two UK passport-sized photos (3.5cm x 4.5cm).
• Colour photos with a plain white background.
• Must be less than three months old.

UK Residency

• Provide a UK eVisa printout from UKVI with a valid share code.

Travel Insurance

• Must cover the entire Schengen area.
• Minimum coverage of €30,000 for medical emergencies, hospitalisation, and repatriation.
• EHIC cards are not accepted.

Proof of Travel

• A reserved return ticket to the UK or onward travel confirmation.

Proof of Accommodation

• Confirmed hotel booking or official confirmation from the host institution in Belgium.

Proof of Finance

• If the school or university is funding the trip, proof of institutional payment or prepayment confirmation is required.
• If the student is paying, proof of payment and recent UK bank account statements covering the last three months must be provided.

Educational & Trip-Specific Documents

• Letter from the School or University (Original)
  • Confirming the student’s enrolment in the institution.
  • Confirming the trip details, purpose, and duration.
• Invitation Letter (Original) (if applicable)
  • From the Belgian institution being visited (such as an EU, NATO, or academic institution).
  • Stating the date, purpose, and itinerary of the visit.
• Itinerary and Trip Details (Copy)
  • Travel programme, confirmation of group reservations, or organised trip details.
  • Any supporting documents outlining the purpose of the journey.

For Minors (Under 18 Years Old)

• Birth certificate.
• If travelling alone or with only one parent, additional documents required:
  • Consent letter signed by both parents or the legal guardian.
  • Certified copies of both parents’ passports.
  • British school certificate.
• If the student has sole custody of one parent, additional documents may be required:
  • Court ruling granting sole custody.
  • Death certificate of the absent parent (if applicable).

Important Notes

• All documents must be in English, French, Dutch, or German. Foreign official documents must be legalised or carry an apostille unless exempted by treaty.
• Submission of all required documents does not guarantee visa approval.
• Additional documents may be requested by the Belgian authorities if necessary.
